Outdoor Events And The Rainy Season

Having An Outdoor Event? How Do You Prepare For the Rainy Season?

So your client says "We want to host our event outdoors, during the rainy season." Jump high, jump low, it's going to happen.

"Sure no problem!" you respond because you got a plan.

Plan - Rain Relief

Proper Venue Drainage

During your initial site visit, talk to the facility's coordinator to determine the elevated and low points of the space, what areas tend to flood, which direction the rain comes from and what is their rain relief plan.

In asking these questions, you can better prepare your event rain relief plan.

An Indoor Space

While the aim was to have the ideal outdoor event, selecting a venue with an indoor space can work to your advantage during the rainy season.

With an indoor space you can move your guests inside until the sun returns.

Umbrellas

If the weather forecast prediction is rain on that special day, then your first line of action is to prepare guests for the potential downpour. You can either tactfully encourage guests to walk with their 'brolly' or even better yet, present guests with tokens of umbrellas.

Tents

So Mother Nature begins to dampen your day and naturally guests will seek shelter. Tents are an excellent temporary option that can provide some coverage for your attendees. With many options such as the regular, marque and clear tops; they can easily be decorated to enhance your special occasion.

However, be sure to ask about drainage solutions between connecting tents, tent walls and even raised flooring.

Towels

If your guests are wet, then having some big white fluffy towels on stand by for guests is special added touch that will make yout guests go "Awwwww...." as they pat themselves dry.

Weather Appropriate Apparel

Depending on the nature of your event, wearing appropriate clothes is best. Close shoes or boots, water proof jackets and even rain coats are some solutions for casual type events.

For formal events, avoid long flowing outfits that can easily get muddy.

More importantly, have a back up outfit just in case you get soaked through!
