Things tend to look seamless, more innovative and the additional advantage is the Eco-friendly aspect (no paper).
Registration has moved away from a paper based, manual check back system to swiping entry cards to gain access.
Speeches are available with the swipe of a finger on the tablet.
Safety briefings are all pre-recorded.
..... But when technology fails you..... Trust me it does! What is your back up plan????

Online Registrations Lists - Always keep a hard copy or two of your guest list (no matter how long it is). You just never know when an online data base can lose internet connectivity.- Speeches on Tablets - These sleek little devices are not always user friendly or can easily be misplaced. In case your presenter is not tech savvy or worse the little powerhouse has been misplaced, have a hard copy of the speech at close at hand.
- Audio Files - Nowadays most venues have their briefings pre-recorded so it's just to hit play. However, in the event the file has been corrupted, it is always best to have a safety briefing officer to perform this duty or hard copy of the brief close by for someone to recite.
- WiFi Access - If your event heavily relies on this from a particular venue, then it would be a good idea to have a back up connection. Sometimes provider's systems become overloaded and unreliable so if you can afford it, get a separate hot spot / router for your event needs.

ReplyDeleteThanks for your awesome tips. I really liked the one about the wifi, and yes please make sure to have a back up of everything possible from spare bulbs for the projector to various types of cables e.g. HDMI and VGA
ReplyDeleteThese tips are noteworthy for my events. Thank you
ReplyDeleteThanks for this. I've never thought of asking the speakers at my events to submit a hard copy of their speech should there be a tech fail. Will definitely implement this.
